Het Departement internationaal Vlaanderen (DiV) staat in voor de voorbereiding, de opvolging en de evaluatie van het Vlaams buitenlands beleid en het beleid inzake internationaal ondernemen, toerisme en internationale samenwerking. Daarnaast zorgt het departement ook voor de uitvoerende taken van het beleidsveld buitenlands beleid en de wapenexport. Tot DiV behoren eveneens meerdere diplomatieke vertegenwoordigingen in het buitenland, waaronder Londen.

De vertegenwoordiging van de Vlaamse Regering wordt aangestuurd door het afdelingshoofd van de afdeling Buitenlandse Zaken van DiV. Deze afdeling verzorgt de beleidsuitvoerende taken binnen het beleidsveld buitenlands beleid. Ze coördineert de bilaterale en multilaterale relaties en samenwerkingsakkoorden, beheert de Vlaamse vertegenwoordigingen in het buitenland en in internationale organen. Daarnaast verdedigt ze de Vlaamse belangen in de EU en volgt ze de Europese programma’s en richtlijnen op.

Je takenpakket situeert zich binnen de vertegenwoordiging van de Vlaamse Regering in Londen. Je geeft ondersteuning aan de Vlaamse vertegenwoordiger die in zijn/haar ambtsgebied het rechtstreekse, diplomatieke aanspreekpunt is voor de Britse autoriteiten.

Wij bieden je een contractuele functie aan voor een onbepaalde tijd (halftijdse prestaties).

Je wordt aangeworven in een graad van medewerker.

Je bruto maandsalaris is ongeveer 865 €. Het exacte bedrag is afhankelijk van je relevante ervaring. Het is mogelijk om maximum 9 jaar functierelevante beroepservaring uit de privé-sector te valoriseren. Ervaring in de (Belgische) overheidssector wordt steeds volledig in rekening genomen.

Why do I want to work in London and what kind of job would I like to perform?

It would of course be best to perform a job related to my earlier studies, but I don’t think it necessary. I would prefer an office job and am prepared to work hard.

The job involves carrying out research and marketing on behalf of Flemish companies wishing to increase their sales turnover in the UK. It includes the compilation of relevant address lists, tracing potentially interesting clients, translating commercial articles, carrying out market research into certain sectors, co-ordinating visits for Flemish exporters to the UK and involvement in organising trade promotion events.

It also includes identifying and assisting businesses seeking to invest in Flanders.

The successful candidate will also be responsible for the reception desk and for providing administrative & logistical support where necessary, as we are only a small team.

This is a varied, fun and busy job for a dynamic bilingual (Dutch/English) Bachelor with international and IT experience.

·Be the linchpin for production information within a team.

·            Assist the Account Manager with the essentials of his/her purchasing administrative tasks. Be the internal “purchasing department” of each team.

·For each project, negotiate purchase prices with suppliers, item by item.

·            Coordinate production of the event at the location, if need be with the help of a freelance technical manager.

Reports to the Client Director (Director)

Tasks

·            Provide creative and/or technical content at the Account Manager’s request.

·            Research suppliers, products, technical solutions.

·            Produce requests for quotations to suppliers, at the Account Manager’s request. Compare products, proposed solutions and estimates.

·            Research locations on site with suppliers.

·            Fill in prices in the budget schedule at the summary and detailed budgeting phase of a project.

·            Keep continuous watch on the purchasing budget and check that purchases are within the limits of the fixed budget.

·            Issue purchase orders to suppliers, on request by the Account Manager and (if appropriate) the technical manager. Negotiate the best purchase prices.

·            Draw up the production schedule.

·            Keep the budget updated. Once accepted by the client, the budget is only modified by the Project Coordinator.

·            Check purchase invoices, and validate or dispute them with suppliers. Transmit validated invoices to the accounts department. Fill in amounts invoiced in the budget schedule.

·            Double check invoicing based on the accounts department job listing.

·            Manage appeals by suppliers relating to disputes and production problems.

·            Draw up a detailed list of equipment needed and setting up constraints (check-list) and reserve the equipment from stock and cartage, at the Account Manager's request.

·            Keep the project address book updated, as regards purchases. Keep the project file up to date.

·            Look for freelance technical managers if needed.

Your profile

·          Experience: minimum 2 years in the event communication sector

·          Computer literacy: Mac Os, Microsoft Office tools, Internet
